We’re looking for an organised, proactive and customer-focused Property Management Support colleague to join our team in Ambleside.
This is a varied, hands-on role where you'll play an important part in supporting the day-to-day running of our Property Management operation. From building relationships with owners, guests, housekeepers and contractors to supporting property checks, office administration and the management of supplies, you'll help ensure everything runs smoothly behind the scenes and across our properties.
You'll be a key point of contact for a range of people, so you'll need to be approachable, confident and an excellent communicator. You'll enjoy juggling different priorities, solving problems and taking ownership of tasks, while always keeping the owner and guest experience at the heart of what you do.
No two days will be quite the same, making this a great opportunity for someone who enjoys a varied role combining administration, customer service and practical operational support.
What you'll be doing
Supporting the daily operations of the Property Management team, helping to ensure the smooth running of the office and wider region
Acting as a welcoming first point of contact for owners, guests, housekeepers, contractors and visitors to the Property Management premises
Managing incoming phone calls and emails professionally, ensuring enquiries are dealt with promptly or passed to the relevant teams
Building trusted relationships with property owners, responding to queries and supporting a positive owner experience
Supporting communication between owners, guests, housekeepers, trades and internal departments
Building and maintaining relationships with existing housekeepers and contractors, while helping to grow our local network of service providers
Providing housekeepers with the information they need to prepare properties ahead of guest arrivals, including checking owner portals for booking changes and cleaning requirements
Supporting property checks, audits and spot checks to help maintain high standards across our managed properties
Assisting with the onboarding of new housekeepers and supporting the wider Property Management team with operational requirements
Supporting the management, organisation and distribution of property supplies, monitoring stock levels and arranging replenishment where needed
Providing administrative support, including invoice processing, owner charges, data checking, spreadsheet preparation and reporting
Taking ownership of daily administrative tasks, ensuring information is accurately recorded and communicated
Supporting guests before, during and after their stay, capturing feedback and sharing any issues with the wider team to resolve
Where applicable, supporting laundry and linen operations, including preparing linen bags, monitoring stock and quality, and keeping laundry areas organised
Completing weekly office Health and Safety checks and ensuring relevant procedures are followed
Working collaboratively with the Homeowner, Property Recruitment and Customer Service teams to ensure a joined-up experience
Supporting the delivery of Property Management targets and contributing to the overall success of the region
What we're looking for
Outstanding communication and interpersonal skills, with the ability to build positive relationships with a wide range of people
A customer-focused approach, with experience handling enquiries and providing excellent customer service
Excellent organisation and time management skills, with the ability to manage multiple priorities effectively
Strong administrative skills and excellent attention to detail
Confident IT skills, including Microsoft Office and experience using CRM systems
Good numeracy and literacy skills, with confidence working with data, spreadsheets and reporting
A proactive problem-solver who can use their own initiative and take ownership of tasks
A flexible and adaptable approach, with the ability to think quickly and respond to changing priorities
Someone who is motivated, energetic and enjoys working as part of a busy team
The ability to communicate information clearly, keep accurate records and ensure actions are followed through
An interest in property and maintaining high standards across our homes
It would be great if you also have
Experience within property management, holiday letting or the wider hospitality industry
Experience working with housekeepers, contractors or trade providers
Knowledge of property maintenance, housekeeping or property operations
